Production Timeline | Term 4
Week 1 Email to HoLA, HoSS, Student Services with instructions
Week 3 Staff prepare content and deliver to HOLA/HoSS (End of Week 3)
Week 4 HoLA/HoSS/Student Services drop content into designated ‘S Drive’ location
Week 4 - 6 Curation/editing
Week 5 - 9 Design/layout/collation
Week 9 -10 SHUTDOWN - Proofing/amendments
Printed and delivered to GSG by Week 1 Term 1 2021
I am a Contributor, what is my role?
Your Role - Contributor
- Spell check/edit/review your work
- Ensure all images that supplement your article are high resolution
- Familiarise yourself with the ‘Staff Shared Drive’ and the Semaphore 2020 folder OR
- Submit to your HoLA/HoSS for review
- IMPORTANT! Submit your content on time
Your Role - Head of Learning Area/Sub School
- Familiarise yourself with the ‘Staff Shared Drive’ and the Semaphore 2020 folder
- Edit/review your department/sub school content before submitting in the ‘S Drive’
- Reply to queries on content accuracy
- IMPORTANT! Submit your content on time
Submitting your content
All content will be submitted into the Semaphore folder located in the Staff Shared Drive.
Location: S:\All Staff\2020 Semaphore
Step 1 - Review, spell check and edit your work
Step 2 - Collect your word document and images and save in the Semaphore Folder in Staff Shared Drive
Step 3 - If applicable, send to HOLA or HOSS for review
Step 4 - HOLA or HOSS email communityrelations@gsg.wa.edu.au to confirm completion
Submitting your article
- All contributors will be supplied with a word count for your article via your HoSS/HoLA. Make sure you heed the word count, your total word count will include (if any) quotes/reflections from students.
- Spell check your copy before you submit it. If in doubt, check the School Style Guide
- Submit all content clearly labelled (You may need to create a folder within the main folder to cluster your content) in the Semaphore 2020 folder in Staff Shared Drive (S:\All Staff\2020 Semaphore)
Submitting your photos
Ensure all images that you submit are High Resolution. If an image is too small in size we may need you to source a different one. If you are unsure if the images you have are usable please email communityrelations@gsg.wa.edu.au
What we want:
- Save images from your phone/camera directly to S Drive clearly labelled
- Apple Airdrop to Cat Woods or Claire Hanson
- Email images to Cat Woods – Ensuring the images are the ORIGINAL SIZE
- Save the images as separate files from the word document
What not to do:
- Multiselecting images out of your phone and attaching to an email lowers the quality
- Multiselecting images out of your phone and texting compress the quality
- DO NOT Insert the images into the word document you are submitting
All tables, academic results, sports awards, or lists will be entered onto an excel spreadsheet we supply.
In previous years we have come across major editing issues when we supply different types of tables. To help eliminate any error in 2020 we will be supplying an excel spreadsheet to staff who need to enter lists or results that is uniform throughout the Semaphore. An Excel table will be sent to the people who need it.
